Privacy Statement
Irish Nonprofits Knowledge Exchange (INKEx) is an independent, nonprofit (limited by guarantee) company registered in Ireland with charitable tax exemption granted by Revenue. It has set out to improve the visibility, accountability and transparency of Irish nonprofits by providing an information infrastructure serving nonprofits, their stakeholders, and the public at large.
INKEx has built a comprehensive, live database of more than 8,000 Irish non-profit organisations based on regulatory data and makes this information freely available on a searchable public website. Organisations listed on the website are free to augment the basic information about themselves on the site, and are encouraged to do so.
As the publishers of Irishnonprofits.ie, INKEx respects the privacy of its users and visitors. We recognise that when an organisation elects to provide additional information on itself, its activities and people, it trusts us to use this in a responsible way. It is our policy to protect personal information and to explain how we gather, process and disseminate personal information within this site.
Please read on for more details about our privacy practices – in relation to general users of our site, and in relation to the people who are responsible for editing content.
General Users
We do not collect personal identifying information from anonymous web visitors. To aid the good running of the website, like most others, our web server automatically records standard information about each visitor. This is logged through the use of standard log files. These record:
- Your Internet Protocol (IP) address – this reveals nothing personal about you other than the IP address from which you accessed the site.
- The pages/resources that you viewed
- Which website referred you to to our website if you arrived based on a clicked link (for example from a Google search) – but not your e-mail address
Information collected from users is used to improve INKEx’s website, products, and services and is not shared with other organisations or individuals. We use this information to review traffic to our site in aggregate, but do not collect and evaluate this information for individuals. This information helps us to generate broad demographic statistics about what types of users are visiting the site and which pages they visit.
Personal information collection
INKEx may collect and use the following, to facilitate its interaction with users:
- information about your use of this website
- information that you provide for the purpose of contacting us or participating in an online forum
- information that you provide for the purpose of registering with the website
- information that you provide for the purpose of subscribing to website services
- any other information that you may send to INKEx.
Our web content management system records search data, and it will record email addresses if they are given to us in contact forms. The search data are aggregated to help us understand the ways visitors want to use our website, and email addresses will be used only for legitimate contact purposes. We will not send you unsolicited emails arising from your use of this website, nor will we share your contact information with third parties.
INKEx uses the third party service Google Analytics to measure traffic to our website [Google Analytics Privacy Policy]. However, we have no policy or plan to engage 3rd party advertising such as Google AdSense.
Nonprofit Users
It is not necessary for an organisation to register in order to be listed in the INKEx database. However, registration and agreement to the terms of service is required before an organisation can update its website entry. If you are the person providing content on behalf of an organisation, it is important to ensure you have authority to act on its behalf. Registration is also required to avail of the services provided by the INKEx Community Exchange.
In order to register, you must provide an active email address, phone number and place of work. We will automatically attempt to validate your contact by sending you an email and asking you to confirm its receipt. We may also make personal contact. Our content editor mailing list software is used to manage the details of people who make contact with our website. We facilitate the automatic removal of contacts from this mailing list facility.
Registered users can delete their data at any time. Each e-mail publication from INKEx includes details of how to unsubscribe. We will take care to ensure that users may only unsubscribe email addresses that they use and control.
If users experience any problems in amending or deleting their information we are keen to help and welcome contact to INKEx.
Use of Cookies
A “cookie”, also known as a web cookie, is a tiny piece of data stored on your computer by your web browser following your visit. The permission to deposit a cookie is granted based on your general browser settings, which are controlled by you. A cookie can’t read data off your hard disk or read cookie files created by other sites. You can reset your browser to refuse all cookies, or allow your browser to show you when a cookie is being sent. Cookies do not harm your system. We use cookies to identify which areas of irishnonprofits.ie you have visited or customised – this is to help us to provide a better and more personalised experience for users.
WordPress, which is INKEx’s presentational content management system, uses cookies to facilitate the user-friendliness of the website: they help to verify who you are based on a previous visit. WordPress uses the two date-controlled cookies to facilitate re-entry to restricted access pages by registered content editors. Where cookies expire or are altered, WordPress will require users to log in again, in order to obtain new cookies.
By default, the cookies on the INKEx site are set to expire two weeks from the time they are set.
The actual cookies contain hashed data. It is extremely difficult to reverse a hash or “un-hash” content to find the original input data. This means that you don’t have to worry about someone gleaning your user name and password by reading the cookie data. A hash is the result of a specific mathematical formula applied to some input data (in this case your user name and password, respectively).
INKEx also makes available a custom Microsoft.Net application to its registered users. Like the wordpress CMS, this web-based application also stores cookies to aid access control. These cookies are also retained in the same manner for two weeks.
Securing your data
INKEx holds personal data from three distinct sources in its database.
- The data on company secretaries and directors provided by them to the Companies Registration Office (and purchased by INKEx from a licensed data re-seller under the terms of the license published on the CRO website, see http://www.cro.ie/ena/downloads-re-use-of-information.aspx
- The data on the CEOs (or equivalent), provided voluntarily by organisations in the database
- The contact details of people who communicate with us to register for our services
The nonprofit profiles published by INKEx on its website are secured by password protection; the personal information included is limited to the data on CEOs (or equivalent), provided voluntarily by them.
INKEx will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of any personal information.
INKEx will store all the personal information you provide on its secure servers. The nature of the Internet is such that we cannot guarantee or warrant the security of any information you transmit to us via the Internet. No data transmission over the Internet can be guaranteed to be 100% secure. However, we will take all reasonable steps (including appropriate industry and technical protocols and standards) to protect your personal data.
INKEx restricts access to private user information to those employees who need access to perform their job functions, such as our technical staff. [For more information see our security policy].
Editorial control
INKEx does not exercise editorial control over the data provided by nonprofit users. As such we are not responsible for its accuracy or otherwise. However, as the publisher of these data, we are responsible for ensuring that they do not contravene relevant regulations and standards regarding decency and propriety. If we consider that content published on our website is in contravention of Irish law we will remove it and make contact with the author.
Do we use your information for making contact?
We may make contact (usually via email) with messages specific to your account and necessary for the normal functioning of our services.
For quality control and training purposes, we may monitor or record your communications with us.
We may contact you by email, telephone, fax, or other electronic messaging service or by post with offers of goods, services, promotions or information that may be of interest to you. By providing us with your contact details you consent to being contacted by these methods. If you do not wish to receive marketing information please indicate this where requested on the log-in page or registration for our e-bulletin.
Do we share personal information?
INKEx does not share birthdates, addresses, e-mail addresses or other personal information acquired from regulatory sources or provided by content editors, website users, newsletter subscribers or customers who purchase or subscribe to our products and services, except to the extent that this is necessary to complete transactions.
INKEx will not disclose your personal information to third parties without your express consent. We may share aggregate information about our users to third parties but will not share any personally identifiable information about you.
In addition to the disclosures reasonably necessary for the purposes identified elsewhere above, INKEx may disclose your personal information to the extent that it is required to do so by law, in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend its legal rights.
